OVERALL PURPOSE OF JOB
  • Administer and process purchase orders for finished goods and bulk materials.
  • Control and Monitor Inbound logistics for international consignments.
  • Analyse and collate bulk materials requirements in conjunction with Demand planning.
  • Work closely with key stake holders from Demand Planning, Sourcing, Finished goods vendors and Material’s vendors.
  • Maintain accurate critical paths for materials and finished goods, and monitor availability and usage of key materials.
  • Provide support to key stake holders in Sourcing and Finance in terms of processing of inward documentation verification and processing.
IDEAL CANDIDATE PROFILE
  • Degree educated, preferably in a numerical discipline.
  • Strong analytical ability.
  • Ability to work autonomously as well as within a wider commercial team.
  • Strong written and verbal communication skills.
  • Exceptional organisational skills with the ability to manage and deliver on a multiple number of projects.
  • Ability to travel internationally when required.
  • Multi-lingual (Mandarin) would be desirable.
  • Open to new ideas and change initiatives, with the ability to modify the current approach in the face of new demands. Flexible and motivated with the ability to demonstrate initiative and innovation and to complete projects effectively.
KNOWLEDGE, EXPERIENCE AND SKILLS

Demonstrable experience of numerate and analytical skills

Proficient in Excel, with the ability to analyse large data sets including the use of pivot tables and modelling

Highly motivated, enthusiastic and results driven

Methodical and diligent with sound organizational and administrative skills

Excellent communication skills

Portrays a robust, resilient character

Ability to work under pressure and to strict deadlines

Strong business and commercial acumen

Ability to communicate in Mandarin Chinese would be desirable

Previous experience in Shipping or Logistics desirable but not essential

MAIN DUTIES & RESPONSIBILITIES

Administrative Duties – Logistics

  • Using the ERM system, ensuring timely and accurate processing of bulk purchase orders, including price verification and preparation of purchase and shipping schedule
  • Maintenance of Critical Path and Delivery schedule for bulk purchase orders
  • Coordination of Shipping consolidations to ensure most efficient shipping volumes to agreed parameters
  • Timely administration of Shipping and Clearance documentation with Vendors, Forwarding and Clearing agents
  • Liaison with Warehouse (Distribution Centre) to coordinate inbound cargo receipt
  • Processing of bulk purchase documentation from vendors including; capture of inbound inventory’s into ERM system; maintenance of inbound inventory dates in ERM system; and, processing of debit and credit notes as necessary

Materials Control

  • Analyse and collate materials requirements in conjunction with CBD’s and key stakeholders from Demand planning, Finance and Product teams
  • In conjunction with Head of Sourcing and Demand planning, prepare seasonal materials forecast
  • Monitor materials usage by vendor to forecast, including packaging
  • Process and monitor sample materials orders and inventory levels
  • Monitor Excess Materials usage


  • Provide cover for Demand planning when needed
  • Other duties as may be assigned by Head of Sourcing or Planning Manager
